Update / Correct an Electronic Document

Electronic Documents after Submission

 

USTEPS has a feature used in viewing electronic documents of each of the consumers. This will alleviate the need for 'paper files'. Staff who can choose consumers within USTEPS have access to these documents. DSPD requires the worker to submit an electronic copy of all documents as a function of their regular case management responsibilities.  The list of documents is expected to be dynamic and change over time.  Consequently, its permanent home will be moved from this document to DSPD’s website.

Scanned Document Requirements

The worker now has the ability to load an electronic document directly into USTEPS.  In order to successfully load the document, they must ensure it complies with the following requirements.

 

1.   The document file type must be “PDF”.  All other file types, such as jpeg, docx, xls, etc., are not permitted or acceptable.

 

2.      The document must contain information regarding (only) one consumer.

 

3.      The document should be scanned at a suggested resolution of 300 dpi.

 

4.      After the paper document has been scanned, it must be legible.  If not, the worker must reimage the document such that it can be read.  Illegible documents will be discarded from USTEPS.

 

5.      The document must be associated with the consumer who owns it (i.e. ensure that the selected consumer in USTEPS is the same as the individual who owns the document being uploaded.).

 

6.      The worker must ensure the electronic version of the original document is successfully loaded and available in USTEPS before they destroy the paper version.

 

7.      The document content must conform to one of the types listed in “Definition of Document Types” (note: if the document is a type not listed in Definition of Document Types or required by DSPD, then it should not be loaded into USTEPS).
