Uploading a Scanned Document

Instructions are as follows:                                                                                        

1. Log into USTEPS.

2. Search for the desired consumer

3. Select "Consumer" menu and click on "Upload Documents"

4. Upload the Document - Click on the “Browse” button (note:  The file loading process is managed by UPI).

5. Locate and select the file.

a.   Click on the “Open” button.

Note:  More than one document can be selected and loaded at the same time if they all belong to the same consumer.  Multiple documents that belong to different consumers cannot be loaded at the same time because doing so is inappropriate.  The worker is responsible for ensuring they have loaded the correct document for the consumer selected in USTEPS / UPI.

6. Upload the File (s)

a. The “Upload All” button loads all documents listed in the box on the screen for the selected consumer.

b.  The “Cancel” button discards all documents listed in the box on the screen for the selected consumer.

c.  The button with the recursive arrow loads (only) the document listed on its immediate left.

d.  The button with the “cancel” symbol discards (only) the document listed on its left.

The “Progress Bar” shows the status and time remaining before the file is completely loaded to the server.

 7. Click the "Next" button - After the file (s) have been successfully loaded, the system displays confirmation of what happened.  The worker must click on the “Next” button in order to move on to the next step in the process.

8. Classify and Date the Document - Before the document can be made available to view in USTEPS, it must be classified with a document type and a date when the information it contains was gathered / processed. Click on “Pencil” icon to classify / date the document. Select the document’s classification and enter the date.

a.  Click on the pull down list of document types and select the one that applies.

b.   Enter the document’s date.

Note:  Both the classification and date are required.  If the document’s type is not listed, then it means the document should not be Xstored.  If the date is not known, enter the nearest approximation to the actual date as possible.

9. Finalize the Document Classification / Date - After the document has been classified and dated, the system presents a blue “Check Mark” icon in the “Edit File” column of the table.  Click the “Check Mark” icon to finalize the classification and date (note – this step is required before the updated document can be submitted to USTEPS.) After the document’s classification and date are finalized, the information is displayed in the table.

10. Submit the Classified, Dated Documents to USTEPS.  - Click on the “Upload to Server” button to make the document become viewable in USTEPS. After the “Upload to Server” button is clicked, the system displays a confirmation message.

Select “Yes” to continue with the submission process.

Select “Not Yet” to abort the submission process.

 

Note:  All files that have been categorized, dated, and are waiting to be submitted to USTEPS will be included when the “Yes” button is clicked.
